Every supplier contracts with you, not with us
Caterers, production, staffing and venues all sign directly with your organization. We are paid a management fee and hold none of the agreements, which means you can replace us tomorrow and keep every relationship.
We changed agency after six years and kept every supplier, because every contract was already ours. The transition took a fortnight rather than a year.
Head of Events, professional services firmThey negotiated a venue minimum down by a substantial margin and then had us sign the agreement directly. There was no version where they benefited from the number.
Marketing Director, asset management companyAgencies hold the contracts because that is the leverage
A client wants to change agency after four years. The caterer, the production company and the staffing agency all have contracts with the outgoing agency. Changing means rebuilding every supplier relationship from scratch, which is exactly why most clients do not change.
Holding the contracts is presented as convenience. One invoice, one point of contact, less administration for the client. All of that is true, and the effect is a switching cost that grows every year.
It also hides the economics. When an agency holds the supplier agreement, the client sees one figure and has no reliable way to know what the supplier was actually paid.
So every supplier contracts with you. You see each agreement, you pay each supplier, and our management fee is a separate invoice. Leaving us costs you an email rather than a year of rebuilding.
Event management where you hold every contract
Eventwell Group plans and delivers corporate events and brand experiences across Westchester, Fairfield County and New York City. We manage; you contract. The distinction decides who holds the power in the relationship.
Corporate Event Management
Conferences, client events and internal programmes managed end to end, with every supplier agreement signed directly between you and them and our fee invoiced separately.
Experiential and Brand Activation
Activations and brand experiences designed around a defined outcome, produced through suppliers you contract and own the relationship with afterwards.
Venue Sourcing and Negotiation
Shortlisting and negotiation, with the venue agreement executed between the venue and you. We negotiate on your behalf and take nothing from the venue.
Production Management
Technical production coordinated across audio, lighting and staging, with supplier quotes presented to you unaltered and their contracts held by you.
Staffing and Hospitality
Event staffing, registration and hospitality arranged through agencies you engage directly, briefed and managed by us on the day.
Programme Management
Ongoing event programmes run across a year, with the supplier roster built in your name so the programme survives a change of agency.
Before you get in touch
Why would we want several supplier contracts?
Because they are yours. If you change agency, you keep every relationship and every trading history. The alternative is rebuilding your supplier base, which is the main reason clients stay with agencies they have outgrown.
Is that not more administration for us?
Somewhat. Several invoices rather than one. We prepare the schedule and reconcile everything, but the payments are yours to make and the visibility is the trade.
Do you take commission from venues?
None, from venues, caterers, production companies or staffing agencies, in either direction.
How is your fee calculated?
A fixed fee against scope, agreed in advance and invoiced separately. Never a percentage of spend.
What happens if we leave you?
You keep every supplier relationship, every contract and the run sheets. A transition takes a fortnight rather than a year.
Ask who holds your supplier contracts
If the answer is your current agency, that is worth knowing before you next consider changing.
